Roles

A role is a named set of permissions. Assign it to any user and they receive the permissions you set on that role.

Open Settings, then Users, then the Roles tab. Only an Admin can open this tab.

In the left navigation, open Settings, then Users.

The page title stays Users. Switch from the Users tab to the Roles tab. The tab shows how many roles exist.

Search roles filters the table. New Role is at the top right.

Members is how many people currently have that role. A default role can show 0 when nobody is assigned to it.

Every workplace starts with Admin and Member. Both are Type Default. The Actions column is empty for them, so they are not edited from this list.

What those two roles can do across the workplace is in User access levels.

Create a custom roleCreate a custom role

Use a custom role when a group of people should share the same permissions and Admin or Member is not the right fit. Tester is one example of a custom role. The name is yours.

New Role

On the Roles tab, choose New Role.

Name it and set permissions

Give the role a name and choose the permissions it should include. Those permissions become the defaults for anyone who later receives this role.

Save

The role appears in the table as Type Custom, with a member count and an edit action.

Assign it

It does nothing until you assign it. Use it on an invite, or on a member's Permissions tab.

The View, Create, Edit, and Delete actions those permissions use are listed in Project permissions.

Edit a custom roleEdit a custom role

The edit icon is only on rows whose Type is Custom. Open it, change the role's permissions, and save.

That change updates the defaults for every member who has the role. It does not rewrite a check you already overrode on one member. A change on one member's Permissions tab does not change the role, and it does not change the other members who share it.

On the invite
Invite User includes a required Role field. It starts on Member. The list also includes Admin and every custom role. See Inviting users.
After the invite
Open the member and use the Role list on the Permissions tab. See Editing user access.
Many people
The same role can be assigned to one user or to many. Each of them gets the permissions on that role.

Project access is chosen separately. A role does not, by itself, pick which projects the person can open.

TipsTips

Start from Member
Member is the role shown when you invite someone. Switch it when they need Admin or a custom role.
Check the count
The Members column tells you who will be affected before you edit a custom role.
Leave defaults
Admin and Member stay Type Default. Add a custom role instead of trying to edit those two rows.
