Inviting users
Only users with Admin access can invite users in QAlity. Invitations are managed from the Users module, which is visible only to Admins.
If you cannot see the Users module, your account likely does not have Admin access.
Navigating to the Users module
- Sign in to your QAlity workspace.
- Open the workspace administration area.
- Go to the Users module.
From this module, Admins can invite users, track invite status, and manage access.
Inviting users manually
Use manual invites when adding a small number of users.
- Open the Users module.
- Start a new user invite.
- Enter the user details:
- first name
- last name
- email address
- Submit the invitation.
After you send the invite, QAlity sends an invite email to the user automatically.
Inviting users in bulk via CSV
Use CSV upload when onboarding multiple users at once.
- Prepare a CSV file with these columns:
First NameLast NameUsername(email)
- Open the Users module.
- Choose the bulk upload option.
- Upload the CSV file.
- Review the parsed rows and confirm the upload.
After upload, invite emails are sent automatically to all users listed in the sheet.
Ensure email addresses are valid before upload. Invalid or incorrect addresses can prevent users from receiving invites.
After the invite
Once invited:
- The user receives an invite email.
- The user completes signup from the invite link.
- The user appears in the member list.
- Until the invite is accepted, the user remains in a pending state.
You can then manage that user from the Users module as needed.
Tips
- Prefer manual invites for small, controlled additions and CSV for larger onboarding batches.
- Standardize CSV formatting before upload to avoid invalid records.
- Review pending users regularly and resend or correct invites when needed.
- Keep Admin access limited to users who manage workspace membership.
