Managing users
Admins can manage all users from the Users module at any time. This includes reviewing user state, activating access, and deactivating access when required.
Only Admins can access user management capabilities.
Viewing the user list
From the Users module, Admins can view all workspace users, including:
- invited users
- active users
- pending users who have not accepted an invite
This view helps track who currently has access and who still needs to complete onboarding.
Activating a user
Activate a user when they should have access to the workspace.
Typical cases:
- a newly invited user has completed onboarding
- a previously deactivated user needs access again
To activate a user:
- Open the Users module.
- Locate the user in the user list.
- Update the user status to active.
- Save the change.
The user can then access the workspace based on their access level.
Deactivating a user
Deactivate a user when access should be removed, such as offboarding or temporary suspension.
Typical cases:
- employee offboarding
- contractor engagement ended
- access should be paused for security reasons
To deactivate a user:
- Open the Users module.
- Locate the user in the user list.
- Update the user status to deactivated.
- Confirm and save.
Deactivated users lose workspace access immediately.
Deactivation affects access right away. Confirm ownership handoffs before deactivating users with critical responsibilities.
Pending users
Pending users are invited users who have not yet accepted their invitation.
If a user remains pending:
- verify the email address is correct
- ask the user to check spam or filtered folders
- re-send the invite if needed
Pending status is expected until invite acceptance is complete.
Tips
- Review user access regularly and remove unused access promptly.
- Deactivate instead of delaying when offboarding is confirmed.
- Keep the number of Admin users limited to operationally necessary accounts.
- Monitor pending invites to ensure new members can onboard without delays.
